We welcome the opportunity
to serve the community by allowing special event use of The
Center. Such use exposes The
Center and its offerings to a wider audience,
and funds raised through special events directly support our
education-related efforts.
Our event coordinator is experienced in planning successful
events and is eager to assist you in any way to ensure that
your event is memorable.
Event
Planning Recommendations:
- The Event Coordinator is
your contact at The Center. To ensure the success of your
event, we request that you designate a single conatact
person to represent your group.
- Our special event spaces
may fill up quickly, so we recommend making your reservations
as soon as possible. A completed contract must be signed
and returned along with a non-refundable deposit to confirm
your reservation.
Conference
Room Guidelines
- Reservations/Deposits:
We will gladly hold a tentative reservation. Upon inquiry
for the same space, one working day's notice will be given
to the client for a confirmed reservation. All facility
rentals require a standard deposit of 50% of the minimum
fee to reserve the facility, due upon receipt of the Room
Rental Contract. The full, non-refundable rental
amount plus a 20% refundable cleaning/damage deposit are
due 30 days prior to the event.
- Catering & Food
Service: In order to maintain the quality of
our product and service, we work from a list of exclusive
caterers. We require one or more on-site meetings with
the caterer at least two weeks in advance of the event.
No red or tomato-based sauces or berries are allowed in
the building.
- Alcohol:
Limited serving of wine only is permitted. Appropriate
liquor/banquet permits or other licenses must be secured
by the group and verified by Susan Kovalik & Associates
at least seven days before the rental date. All Washington
State liquor laws apply. Renter assumes all liability
associated with the serving of alcohol.
- Cleaning/Trash Disposal:
The selected caterers are responsible for cleanup during
and after the event. In addition, independent cleaning
services and trash disposal may be contracted. The exact
amount of these charges will be billed to the rental group
by Susan Kovalik & Associates. Cleaning costs may
vary. Trash disposal costs are determined by weight. Estimates
are available upon request. Client is reponsible for collecting
all leftover materials, breaking down all boxes, and assisting
the Event Coordinator with removal of all material. No
animals are permitted inside the building, with the exception
of guide dogs and other service animals. Please
notify the Event Coordinator of this possibility in advance.
- Smoking:
Please inform your staff and guests that smoking is permitted
in designated outdoor ares only. Washington State regulations
prohibit smoking in public areas or within 25 feet of
any doorway or window. No smoking is allowed inside the
building.
- Parking:
Ninety spaces are available in the parking lot at The
Center with some additional street parking available.
- Center Property/Offices:
No one is allowed in The Center offices after
hours unless accompanied by a Center staff member.
Do not touch artifacts or exhibits. No plants may be moved.
- Deliveries:
Deliveries will only be accepted on the actual day of
the event. Be sure to mark all deliveries to the attention
of the Event Coordinator. All delivery vehicles must remain
outside exterior leading dock doors (located on the east
side of the building). No loading or unloading of equipment
is allowed through the front entrance.
- Audio:
All music choices and volume levels must be approved by
the Event Coordinator. Microphones, TVs, VCRs, CD players,
and internet access are available and included in the
cost of the room.
- Scheduling:
All evening events must conclude by 10:00pm, unless other
arrangements have been made and are outlined in the contract.
- Decorations:
No candles, glitter, confetti, rice, birdseed, flower
petals, etc. may be used in The Center. Bridal
bubbles may be used outside only. All equipment and décor
must be placed a minimum of three feet from exhibits and
their related parts. The Center artifacts, exhibits,
or furnishings cannot be moved. Taping materials to walls
is permitted in designated areas with tape provided by
The Center. 3M Post-It® Chart Pads are permitted
and available through the Event Coordinator.
Responsibilities
and Rights of The Center
- Susan Kovalik & Associates,
Inc. reserves the right to disallow any event for any
reason, including but not limited to: (a) partisan political
activities, religious events, or government lobbying ventures,
(b) activities presenting a risk of damage to facilities,
(c) any event or activity which may be deemed as inappropriate,
etc.
- Our Event Coordinator must
approve all decorations.
- Susan Kovalik & Associates
must be notified of any special electrical or audio/visual
needs no less than one week in advance. The Center
Event Coordinator will coordinate equipment use to ensure
compatibility with Center systems.
- Susan Kovalik & Associates
is not responsible for any damage, loss, or theft of any
equipment, merchandise, personal property, or vehicles
on the premises.
